Housecat keeps your CRM up to date without manual processes or copy-and-paste.

Instead of manually creating and updating contacts, companies, deals, or other records after every intro or sales email, you simply forward emails to Housecat. Housecat reads the thread, extracts the key information, and updates your connected CRM for you. You always receive a summary and can reply to make changes or undo updates.

How to get started

Housecat takes just a few minutes to set up.

  1. Connect your workspace

    Authorize Housecat to access your CRM. This allows Housecat to create and update records on your behalf.

  2. Review your data structure

    Housecat reads your existing tables and fields so it understands how your data is organized. Housecat proposes how to map email information into your structure, but you can adjust this if needed. If you need help with custom configuration, reach out to help@housecat.email and our team will be happy to help.

  3. Housecat email address

    Every workspace receives a Housecat email address which ends in @housecat.email. This is where you and your team will forward emails for Housecat to process.

  4. Test connection

    Lastly you should test the connection between Housecat and your CRM. Send the ready-to-go draft email that we share with you, once it’s been processed you should see a new record for Housecat in your CRM!

Now, you’re ready to start using Housecat.

How to Use Housecat

Using Housecat to update your CRM is simple.

Step 1: Forward an email

Whenever you receive an email with information you want to add to your CRM, forward it to your dedicated Housecat email address (it will end in @housecat.email).

Common examples:

  • Customer introductions or referrals
  • Sales leads or inbound inquiries
  • Partnership conversations
  • Follow-ups that include new contact information or companies

You can forward individual messages or full threads.

Step 2: Housecat processes the email

Housecat reads the conversation and identifies structured information such as:

People

  • Name
  • Role
  • Contact information

Companies

  • Name
  • Website
  • Industry or description

Documents

  • Links to shared documents or data rooms
  • Attachments included in the email

Housecat can also download shared files so they can be referenced inside your workspace. We’ll even download files from DocSend and add them.

Depending on how your workspace is set up, Housecat can update fields across multiple objects or tables and maintains the right relationships between them.

Step 3: Your CRM is updated

Based on what Housecat finds, it will:

  • Create new records, or
  • Update existing records

Housecat checks for possible matches and flags potential duplicates or conflicts for human review.

Step 4: Housecat summary email

After processing, Housecat replies with a clear summary of:

  • What records were created
  • What records were updated
  • Any possible duplicates or conflicts

You stay fully informed without needing to open your CRM.

Step 5: Reply if you need changes

If something is incorrect or you want to undo a change, simply reply to the summary email. Housecat will use your reply to adjust the records.

Errors and changes

You are always in control.

If Housecat creates or updates something you didn’t want, just reply to the summary email and explain what should be changed. Housecat will adjust the records accordingly.

You don’t need to log into your CRM or Housecat to fix simple mistakes, just reply to the email or forward corrections.

Best Practices

To get the most value from Housecat:

  • Forward complete threads when possible, not just single replies
  • Include the original introduction message in intro email messages
  • Forward emails as soon as you receive them so your records stay up to date
  • Encourage your entire team to forward emails to Housecat
